Appointment Cancellation Policy

Patients will incur a $50 fee for late cancellations and missed appointments.

This includes telephone appointments.

We are committed to providing all of our patients with exceptional care.

No shows reduce our ability to serve our patients - each missed appointment means someone else in the community was unable to receive care in our clinic.

Please read the following cancellation policy carefully:

  1. Appointment Cancellations:

    • Please call us at 250-480-7338 at least 24 hours or 1 business day in advance of your scheduled appointment if you are unable to attend.

    • Appointments are in high demand, and your advanced notice will allow another patient access to timely medical care.

    • We cannot accept requests to reschedule or cancel appointments via text message - you need to phone in to complete the process.

  2. Late Cancellations or Missed Appointments:

    • A cancellation fee of $50 will be charged for patients who miss their scheduled appointment or cancel with less than 24 hours / 1 business days notice.

    • The cancellation fee is due before rebooking another appointment at the clinic.

  3. Late Arrivals:

    • We recognize that your time is valuable and it is our goal to stay on schedule. If you arrive late for your appointment, we will do our best to accommodate you. However, your appointment may need to be shortened or cancelled to enable your provider to see other patients who have arrived on time.

    • You may be charged a cancellation fee for a late arrival.

  4. Emergency Situations:

    • We understand emergencies happen. Please contact our office as soon as possible to reschedule, and we will make accommodations on a case-by-case basis.

  5. Financial Hardship:

    • If the $50 fee would result in undue financial burden, please call 250-480-7338 and ask that the fee be reconsidered. We will work with you to find a fair solution.
